Voluntary Services

Claiming Expenses and Parking Arrangements

We are always grateful for the time that our volunteers give freely to the Trust, across all of our three hospital sites: Hemel Hempstead; St Albans City and Watford General.
We value the service that our volunteers give and do not expect any of our volunteers to be out of pocket whilst carrying out their volunteering roles.

Voluntary Drivers:

If you are a voluntary driver working for the Trust you can claim your mileage through the Voluntary Transport Co-ordinator, from the Hemel Hempstead Hospital site, who will supply you with the relevant form for your mileage.
This form needs to be completed and submitted on a monthly basis to the Voluntary Transport Co-ordinator on:
Fax: 01442 287761 or e-mail: teresa.o’shea@whht.nhs.uk or handed in to her directly at the Hemel Hempstead Hospital Voluntary Transport Office situated in the Verulam Wing on floor 2 during the hours of Monday to Friday 09:30am to 13:30pm.

Teresa can also be contacted on Tele: 01442 287642. You will then receive your payment by BACS directly into your bank account.

You are also able to collect a parking permit from any of our hospitals security huts when you are dropping off, collecting, or waiting for your patient to attend their clinic appointment.

Claiming Expenses if you are:

Attending one of our Trust meetings, Committees or carrying out a PLACE (patient-led assessments of the care environment) audit as a patient representative/volunteer or volunteering on one of our wards or departments
If you are a volunteer attending meetings on a regular basis or as a one off or working on our wards or in any of our departments on any site, and you drive in, you can obtain a parking permit from the Security Office situated in the front of Princess Michael of Kent Wing at Watford General Hospital or from the security hut at either Hemel Hempstead or St Albans City hospital sites. This permit will need to be renewed on a monthly basis.
By Car:

You are also entitled to claim back you mileage to and from the hospital site where you are volunteering. The appropriate form, that will be included in your ‘welcome pack’ should be completed and submitted to the Voluntary Services Co-ordinator for a BACS payment to be made by the Finance Department, either at the end of each visit or monthly if volunteering regularly.

By Public Transport:

To and from Watford General Hospital:

If you travel by public transport please keep all travel tickets whereby you need to ask the Voluntary Services Co-ordinator to sign a petty cash slip.

The Voluntary Services Co-ordinator can be contacted between Monday to Friday 09:00am to 16:30pm on 01923 217307 or email: linda.bradshaw@whht.nhs.uk
You would then take this signed petty cash slip to the Patients Affairs Office (situated in the Princess Michael of Kent (PMOK) Wing entrance between the hours of 09:00am to 16:00pm Monday to Friday.

To and from Hemel Hempstead and St Albans City Hospitals:

If you volunteer at Hemel Hempstead or St Albans City Hospital you can post your travel tickets to the Voluntary Services Co-ordinator at Watford General Hospital, Vicarage Road, Watford, Herts WD18 0HB. You will receive a payment by cheque in the post or you can fill out a BACS form that will be paid directly into your account.


Taxis:

The Trust is unable to reimburse for taxi fares but would give the equivalent in mileage. There may be exceptional circumstances whereby a taxi would be provided if the volunteer requests, in advance, approval from the Deputy Chief Nurse (via the Patient & Public Involvement Lead on 01923 217803 or email:lesley.lopez@whht.nhs.uk) advising that this would be their only means of transport.
